How WhatsApp Flows and Automations Works
WhatsApp flows help Shopify stores communicate with customers during useful moments in the buying journey.
Depending on the agreed scope, these automations may support abandoned carts, order updates, delivery communication, customer follow-ups or other approved customer moments.
The setup requires a suitable WhatsApp platform, correct business information, customer consent and approved message templates. It cannot always be activated immediately because parts of the process may require verification or approval from Meta and the selected platform.
What happens after you place the order?
After your order is confirmed:
-
I normally contact you on WhatsApp within 2–3 business days.
-
I send you the information, access and verification requirements.
-
I use approximately 3–4 business days to understand your customer journey and existing setup.
-
I confirm the flows and messages included in the purchased scope.
-
I begin configuration after the required platform, information and access are ready.
You work directly with me through WhatsApp. You can contact me whenever required, and I will reply when I am online.
Some parts of the setup may require you to complete an action while we are communicating, such as verifying a phone number or approving an account connection. If the action is completed later, I may only be able to continue during my next working period.
What access may be required?
The exact access depends on the platform selected for the project. This may include Interakt, AiSensy, WATI, Gupshup, Zoko or another suitable WhatsApp provider.
I may request:
-
User access to the selected WhatsApp platform
-
Shopify collaborator access
-
Customer, order and product access
-
Discount access when offers are included
-
Access to relevant apps or sales channels
-
Access to the WhatsApp Business Account
-
Relevant Meta Business Portfolio permissions
-
Theme access when a WhatsApp widget or opt-in form is included
You should never send me your Meta password, Shopify password, email password, phone verification code or two-factor authentication code.
You should personally complete:
-
Phone-number verification
-
One-time passwords
-
Business verification or KYC
-
Platform billing and subscription approval
-
Official business information
-
Any identity verification requested by Meta
The phone number, WhatsApp Business Account, platform subscription and Meta business assets should remain under your ownership.
What information do I need?
I may ask you to provide:
-
Business name and display name
-
WhatsApp phone number
-
Customer-support hours
-
Escalation contact
-
Products and offers
-
Shipping and delivery timelines
-
Return and cancellation policies
-
Abandoned-cart rules
-
Order-status information
-
Approved message language
-
Customer consent or opt-in source
-
Required languages
-
Discount limits
-
Existing message templates
-
Situations that should be handled by a person
-
Situations that may be automated
WhatsApp marketing messages should only be sent to customers who have provided suitable permission. Customers must also have a clear way to stop promotional communication where required.
How the WhatsApp setup progresses
The process depends on the selected platform, but it normally includes:
-
Business review: I understand your products, customer journey, support process and communication goals.
-
Platform review: I check or help configure the agreed WhatsApp platform and Shopify connection.
-
Flow planning: I map the customer moments, triggers, delays and conditions included in the scope.
-
Message preparation: I write or organize the agreed messages using approved information and offers.
-
Template submission: Where required, the messages are submitted for platform approval.
-
Automation setup: I configure the agreed triggers, rules and follow-up steps.
-
Testing: I test suitable customer scenarios, links, discounts and fallback behaviour.
-
Activation and handoff: Approved flows are activated and the completed setup is documented.
A flow should not automate every conversation. Sensitive questions, complaints and unusual situations may still require a person.
How long does the service take?
A WhatsApp flows and automations setup will generally take approximately 10–20 working days after the required information, platform and access are available.
The timeline may increase when:
-
A WhatsApp Business Account must be created.
-
Phone or business verification is delayed.
-
Meta rejects or requests changes to a message template.
-
The Shopify integration contains problems.
-
Several flows or complex conditions are included.
-
Customer consent information is unclear.
-
Content or offers require approval.
-
Access and feedback are provided gradually.
Meta or the selected WhatsApp provider controls some verification and approval timelines. I cannot guarantee how quickly an external platform will approve an account, number or message template.
What you receive
Depending on the agreed scope, you receive:
-
The agreed WhatsApp platform setup
-
Working flows for the selected customer moments
-
Approved or submitted message templates
-
Shopify connection and trigger checks
-
Testing before activation
-
A summary of the configured automations
I do not rush WhatsApp automation because incorrect messages can reach real customers. Direct communication keeps the project straightforward, while careful setup and testing help protect the customer experience.
